The Genesis Clinic is committed to delivering high-quality, safe, and person-centred care in line with regulatory requirements. This policy outlines our approach to ensuring this aspect of care is maintained across all departments and team members.

Scope of the Policy
This policy applies to all staff, including permanent employees, part-time staff, consultants, allied health professionals, and locum staff engaged at Genesis Clinic.

Genesis Clinic is a fully independent medical facility. We are not affiliated with any other organisation that may use similar branding or terminology.
1. Booking, Deposit & Cancellation Policy
Consultations & Appointments

We kindly request a minimum of 48 hours’ notice for cancellations or changes to your appointment.

To cancel or reschedule, please email info@genesis-clinic.co.uk or contact us directly.

Cancellations with less than 48 hours’ notice will result in the loss of any deposit paid or, where applicable, a treatment being deducted from your package.
Deposits
-
Some appointments may require a deposit to secure your booking, depending on the type of treatment and practitioner. You will be notified at the time of booking if a deposit is required.

When applicable, deposit amounts are as follows:

Doctor appointments: £250
-
Nurse/Therapist appointments: £150
-
Subsequent treatments:
-
Up to £350: £50 deposit

Over £1,000: £500 deposit

Deposits are applied to your treatment cost on the day.

Where a deposit is taken, it is non-refundable, as it reflects the genuine cost incurred from missed appointments or late cancellations.

If no appointments are booked within 12 months, unused deposits will expire.
Pre-Paid Packages & Courses

Missed or cancelled appointments with less than 48 hours’ notice will result in the treatment being deducted from your package.

All packages must be used within 12 months of purchase. Extensions may be granted at the discretion of the Clinic Manager in exceptional circumstances.

Packages are non-refundable, except in cases of serious medical issues (e.g., cancer diagnosis). Refunds will be calculated based on full list pricing for treatments already used, plus any missed appointment fees.
2. Appointments & Attendance

Please arrive 15 minutes early to allow time for paperwork and a smooth check-in.

Late arrivals may result in a shortened appointment or cancellation, with any deposit or session forfeited.

While we aim to remain on schedule, Genesis Clinic reserves the right to reschedule appointments due to unforeseen circumstances, with notice given as early as possible.

Missing a free follow-up will require rebooking a consultation and payment of the standard fee if a top-up is requested.
Children Policy

Clients must not bring children unless accompanied by a second adult to supervise them.

Children under 16 must not be left unattended in the clinic. Doing so will result in cancellation and loss of any deposit or treatment session.
3. Health, Safety & COVID-19 Policy

Genesis Clinic follows all UK health regulations and has implemented enhanced hygiene and safety protocols to protect patients and staff.

If you have ongoing medical conditions or concerns that may affect your ability to complete treatment, please consult the Clinic Manager in advance.
4. Treatment Suitability

All treatments are subject to a suitability assessment by one of our qualified practitioners.

If you are found unsuitable for treatment, you will only be charged for any consultation fee, if applicable.
5. Liability
Genesis Clinic does not accept responsibility for:

Loss or damage to personal belongings within the clinic.

Complications arising from undisclosed medical history or failure to follow treatment instructions.

These terms do not exclude liability for death or injury due to negligence.
6. Prices & Payment

Prices are subject to change and may vary by service. You will be informed of any changes prior to booking.

Full payment for packages or courses is due in advance unless otherwise agreed.

We accept online payments and payments in clinic.
7. Force Majeure
Genesis Clinic is not liable for cancellations or delays caused by events beyond our control (e.g., extreme weather, pandemics, government restrictions).
8. Privacy & Data Protection

We are fully compliant with the UK GDPR and treat your personal data with the utmost care.

9. Complaints Procedure
We take all concerns seriously and aim to provide exceptional care. To raise a complaint:

We will acknowledge your complaint within 3 working days and aim to resolve it within 14 working days.

For treatment-related concerns, you may be asked to attend an in-person review with the practitioner or clinic manager.
10. Governing Law
These terms and conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
